Executive & Operations Coordinator (Design + Hospitality)



OVERVIEW
We are seeking an Executive & Operations Coordinator to support a fast-moving, highly visual, and detail-driven workflow across design, hospitality, and project operations. Working closely with leadership and a multidisciplinary team, this role sits at the intersection of design, food, and logistics. Your day-to-day scope may span from sourcing vintage pieces and coordinating pick-ups, to organizing chef collaborations and event logistics, to following up on client meetings with clear next steps.

Ideal candidates are exceptionally organized, digitally fluent, and detail-oriented, with a strong ability to manage multiple workstreams simultaneously. A strong visual sensibility and comfort operating across both creative and operational tasks is essential.

This role will work across two companies — IDGroup, an LA-based architecture and design firm, and Cuyama Buckhorn, a boutique hotel in Santa Barbara County’s high desert.




WHAT YOU’LL BE DOING

Project & Workflow Coordination Track ongoing projects, capture notes, manage follow-ups, and maintain momentum.
Food, Events & Hospitality Support Coordinate chefs, menus, vendors, and event logistics.

Sourcing & LogisticsAssist with vintage sourcing, deliveries, and inventory organization.

Administrative & Financial Coordination Organize receipts, track expenses, and coordinate with accountants.

Digital OrganizationMaintain structured systems and improve workflows.



WHAT THIS ROLE IS NOT

Calendar-heavy scheduling or traditional lifestyle management

Focused on basic task execution or checking items off a list without context

Siloed into a single department — this role moves across design, hospitality, and operations and requires a holistic, big-picture mindset




WHO YOU ARE

Exceptionally organized, with the ability to manage multiple moving pieces while maintaining clarity and momentum

Highly computer-savvy and digitally fluent, comfortable navigating and improving systems and workflows

Detail-driven, with a sharp eye and a commitment to precision across both creative and operational tasks

Genuinely interested in food, design, and hospitality, with a strong visual and cultural awareness

Calm under pressure, able to adapt quickly and thoughtfully in a fast-paced environment

Trustworthy and discreet, with the ability to handle sensitive information with care and professionalism




BONUS

Past experience working within hospitality, design studios, or event-driven environments

A strong visual sensibility, with an eye for composition, materials, and overall aesthetic alignment

Familiarity with sourcing (vintage, furniture, objects) or working with vendors and creative collaborators

Experience supporting events, from early planning through on-site execution and follow-up

An interest in systems and organization, with the ability to refine or build workflows that support a seamless process
